Overview
The Firstbase Workflows node for Hibob lets admins in Firstbase Workflows reference employee information and trigger events directly in Firstbase. A change in Hibob, such as an employee being hired, terminated, rehired, updated, invited, or deleted, can kick off a Firstbase workflow in return.
Common Use Cases Include:
- Trigger a workflow when an employee is hired in Hibob, to kick off a device order in Firstbase ahead of their start date.
- Trigger a workflow when an employee is terminated in Hibob, to kick off device retrieval and employee offboard.
- Update an employee's Hibob record when a Firstbase onboarding or device-assignment step completes, to keep HR data in sync.
- Look up an employee's Hibob profile (start date, manager, department) when a Firstbase task needs to confirm details before provisioning a device.
Connection Overview
Hibob Service User Token:
This connector authenticates Firstbase Workflows against your Hibob account using a Service User Token generated from a dedicated Hibob service user. Hibob service users are dedicated API accounts detached from any actual employee and cannot log in to Hibob. They exist solely to authenticate API requests securely using their Service User ID and Token.
To connect to Hibob, you will need:
- A Hibob Service User Token
Integration User Setup
Step 1 – Create an API Service User
In Hibob, navigate to Settings -> Integrations (or System Settings -> Integrations) -> click Manage under Service Users -> click Create Service User. Enter a display name for the service user (e.g., "Firstbase Workflows") and click Create.
Copy the generated Service User ID and Service User Token and store them somewhere safe, as the token cannot be viewed again once closed.
Step 2 – Create a Permission Group and Assign it to the Service User
Service users have no access permissions by default.
- Navigate to Settings -> Account -> Permission Groups -> click Create Permission Group and select Service User.
- Name the group and select your newly created Service User under Members.
Step 2 – Configure Access Right
- Under People's Data -> Select people by condition, edit conditions to include all relevant lifecycle statuses (e.g., Hired, Employed, and Terminated) to ensure full coverage across employee lifecycles.
- Grant View/Edit access for necessary fields under People's fields (e.g., Personal, Job, Address, Lifecycle) and enable relevant Features required for your workflows.
- Click Save & Apply.
Setup in Firstbase Workflows
This credential can be saved as a global credential, reusable across every workflow that needs Hibob access, or scoped to a single workflow.
Step 1 – Navigate to Workflows
In the Firstbase platform, as an admin, click the Workflows tab.
Step 2 – Create the new credential
In Workflows, click Credentials -> Create Credential (top right) -> Type "Hibob" -> select HiBob API.
Paste the Service User Token into the Service User Token field.
Step 3 – Using the credential in a workflow
Add the Hibob node (or one of the Hibob trigger nodes - On employee hired, terminated, rehired, updated, invited, or deleted) to your workflow. Open the node, and under Credential, select your newly created Hibob credential.
