The New Joiner Dashboard helps you track and manage equipment provisioning for new employees. This centralized view shows all new joiners, their computer readiness status, and days until their start date, so you can ensure everyone has their device on time.
Accessing the New Joiner Dashboard
To access the New Joiner Dashboard:
- Log in to your Firstbase account
- Navigate to People → New Joiners in the main navigation
- The dashboard displays all employees with upcoming start dates or who haven't received their computer yet
Understanding the Dashboard Information
For each new joiner, the dashboard displays:
- Employee information - Name, country, and email address
- Start date - When the employee begins, with days remaining until that date
- Equipment readiness - Current status of their computer provisioning
- Urgency status - Risk level based on how close they are to their start date
- Order or asset reference - Link to the associated order or assigned inventory
- Estimated delivery date - Expected arrival for orders in transit
- Provisioning outcome - Whether the computer arrived on time or late (shown after delivery)
Note: The dashboard tracks computers only (your employee's primary device). Other equipment like monitors, keyboards, or accessories are not tracked in this view.
Equipment Readiness Status
The equipment readiness status shows where each new joiner is in the provisioning process:
Not Started
No order has been placed and no computer has been assigned from your office inventory. You'll need to either place an order or assign available inventory.
Order Placed
An order containing a computer has been placed but not yet delivered. The dashboard shows the current order status such as Awaiting Approval, Approved, Ordered, Shipped, or Out for Delivery.
Ready
The computer has been delivered to the employee, or you've assigned a computer from your local office inventory. No further action is needed.
Urgency Status
The urgency status helps you prioritize which new joiners need immediate attention:
On Track
The employee already has their computer, their order is expected to arrive by the start date, or their start date is more than 7 days away with no delivery concerns.
At Risk
The start date is 7 days or less away, the computer isn't ready yet, and there's no order with a confirmed on-time delivery date. These employees need immediate attention.
Behind Schedule
The computer's estimated delivery is after the start date, or the start date has already passed and the computer still isn't ready. You may need to find an alternative solution such as assigning local inventory.
Actions You Can Take
The dashboard provides quick actions to help you get new joiners equipped. To access them, click on the ... menu for each row:
Place Order
Click Place Order to start the ordering process for a new joiner. The system will navigate you to the order placement flow with the employee already pre-selected, so you can quickly choose their computer and complete the order.
Assign Local Inventory
Click Assign Local Inventory to assign an available computer from your office inventory. This is ideal when you have computers on hand or when a new joiner's start date is approaching quickly. Once assigned, the equipment readiness immediately changes to "Ready".
Send Reminder
Click Send Reminder to send an email notification to the new joiner, prompting them to log in and place their order. You can send multiple reminders, and the dashboard tracks who sent each reminder and when.
Filtering and Searching
Use filters and search to quickly find specific new joiners:
Filter Options
You can filter the dashboard by:
- Equipment readiness - Not Started, Order Placed, or Ready
- Urgency level - On Track, At Risk, or Behind Schedule
- Country - Filter by employee location
- Provisioning outcome - On Time or Late (for completed cases)
- Start date range - Choose a custom date range
- User status - Invited or Active
You can apply multiple filters at the same time to narrow down your view.
Search
Use the search bar to find a specific new joiner by typing their name or email address. The list filters in real-time as you type.

The dashboard displays all employees with a start date in the future or within the past 60 days. This includes new joiners who have already received their computer, so you can track historical delivery performance.
Can I send multiple reminders to the same new joiner?
Yes, you can send multiple reminders to the same employee. The dashboard tracks the total number of reminders sent and shows the most recent reminder details (who sent it and when).
What does "Provisioning Outcome" mean?
Provisioning outcome shows whether the computer was delivered or assigned on time or late. This appears after the computer is ready and helps you measure on-time performance.
How is the urgency status calculated?
The system automatically calculates urgency based on the start date, equipment readiness, and estimated delivery date. "At Risk" means the start date is 7 days or less away with no confirmed on-time delivery. "Behind Schedule" means the delivery is expected after the start date or has already passed.
Can I assign equipment other than computers from the dashboard?
No, you can only assign computers (primary devices) to new joiners through this dashboard. For other equipment, use your regular inventory management process.
