The Product Catalog in Firstbase allows Admins to manage a list of products that can be ordered or shipped to Firstbase. You can add, remove, or configure items based on your organization’s needs, ensuring you have the right equipment for your employees.
Accessing Your Product Catalog
- Log in to the Firstbase Platform.
- Go to Menu → Product Catalog → Your Catalog.
- You’ll see a list of products currently available to your organization for ordering or shipment.
How to Add Items to Your Catalog
- Click “Add Product” in the top-right corner.
- You will be taken to the Firstbase Catalog, where you can browse products.
Categories Available in the Firstbase Catalog:
- Computers
- Monitors
- Headsets
- Desks
- Ethernet Cables
- Camera Accessories
- Chargers
- Computer Accessories
- Other Items
Adding or Modifying Options
For each item:

Click Add product to include it in your catalog.

Click Remove to remove it from your catalog.

Click View Options to add product and for configurations: Choose your supply and warranty options
Add as Purchase Option
Add as Subscription Option (24 or 36 months)
Include/Exclude Warranty (only for computers)

Click Update Options to modify your supply and warranty options, or remove the product from Catalog.
Managing Your Catalog
Once items are added, you can:
- View all active products under Your Catalog. (List of products you can order or ship to Firstbase)
- Use search/filters to locate specific items.
- Export data
- Remove or update items as needed.

1. What is “Your Catalog”?
List of products you can order or ship to Firstbase.
2. Where do I find new products to add?
Go to Your Catalog → Add Product, browse available items, and add them to your org.
3. Can I customize options when adding?
Yes. You can configure:
- Purchase or subscription option (24/36 months)
- Include/exclude warranty (computers only)
4. What products are shown in “Your Catalog”?
- Firstbase-supplied items available by region
- Customer-supplied items your org can ship to Firstbase
5. Can I remove a product from my organization's catalog?
Yes, you can usually remove a product by:
- Navigating to Product Catalog → Your Catalog
- Clicking the ⋯ menu next to the product
- Selecting “Remove from catalog”
- Confirming in the pop-up:
Important:
Some products cannot be removed if they meet any of the following conditions:
- The product has available inventory in any warehouse
- The product has unavailable inventory that hasn’t been marked for destruction
- The product has a pending order (i.e., an item with no
inventory_idand a status other than Cancelled or Declined)In those cases, Firstbase will automatically convert the SKU to a “customer-supplied” SKU if applicable, or block removal entirely to ensure fulfillment isn’t interrupted.
7. I see a message saying the SKU will be converted to “customer-supplied.” What does that mean?
If you try to remove a Firstbase-supplied product with inventory, it will automatically be converted to a customer-supplied SKU to keep it available.
8. What is “SKU auto-assignment”?
Our logic ensures that SKUs are auto-added to your catalog if:
- Items are returned with that SKU
- Bulk uploads include that SKU
- Inventory is transferred from another org
9. I accidentally removed a product — how can I get it back?
If the product had inventory, it's likely still in your catalog as a customer-supplied SKU. Contact your CSM if you need help finding or re-adding it.
10. Can I remove a product if it only had cancelled/declined orders?
Yes. If it has no inventory and no active/pending orders, it can be removed.
11. Can I add the same item with multiple configurations?
No. You must choose one configuration per product (purchase vs subscription, with/without warranty).
12. Are warranties included?
No, not by default. You can include them on computers only, and pricing will adjust accordingly.
13. How do I add a new product to the Shipment Notice flow?
Currently not supported, but planned for a future release.
