When Should You Use This Method?
Use this option when an employee is returning assets to Firstbase (not available for drop-offs at office locations) and you want to designate specific items for Recycling instead of redeploying them.
Items not eligible for recycling via Returns, Replacements, and Offboarding:
- Assets on a Firstbase subscription plan
- Assets returned to an office location instead of being shipped to Firstbase
Steps to Request Recycling via Returns & Offboarding
For Returns
- Navigate to the Admin Dashboard: Go to “Orders and Returns” in the Firstbase menu.
- Select “Actions” and choose “Place a Return or Replacement”.
- Select “Return” in the Return Process
- Select “No” in the Offboarding question. Select “Continue”
- Choose the Return Destination: Ship to Firstbase (Recycling can be selected for eligible items).
- Choose the items you need or want to return and mark which ones should go through Recycling (if eligible). You can also add any extra details if needed.
- Verify Employee information.
- Review and submit the Return Request.
For Offboarding:
- Go to “Orders and Returns” in the Firstbase menu.
- Select “Actions”, then choose “Place a Return or Replacement”.
- Choose “Return” in the Return Process: Select “Yes” to initiate the offboarding process.
- Select "Ship to Firstbase" as the return destination to enable Recycling.
- Choose the items you need or want to return and mark which ones should go through Recycling (if eligible). You can also add any extra details if needed.
- Select “Continue”
7. Verify employee information. Select “Continue”
8. Then just review (You will see the items selected for Recycling as Marked for destruction) and select “Submit”.
9. And confirm you are sure to offboard Employee: “Yes, Offboard Employee”
For Replacements:
- Go to “Orders and Returns” in the Firstbase menu.
- Select “Actions”, then choose “Place a Return or Replacement”.
- Choose “Replacement” in the Return Process:
- Choose the items you need or want to replace and mark which ones should go through Recycling (if eligible). You can also add any extra details if needed.
5. Select the replacement products for your item. Select “Continue”
6. Review employee information. Select “Continue”
7. Then just review and “Submit” Replacement Request. (You will see the items selected for Recycling as Marked for destruction).
Frequently Asked Questions (FAQs)
Which Items Are Eligible for Recycling Requests via Returns, Replacements, and Offboarding?
- Items purchased or customer-supplied
- Items shipped to Firstbase (not dropped off at an office)
- Items not on a Firstbase subscription plan
Can I Cancel a Recycling Request via Returns, Replacements, or Offboarding?
- If the item is still in "Deployed - Return in Progress," contact Support to request cancellation.
- Once the item arrives at the warehouse and is "Unavailable - Marked for Destruction," cancellation is no longer possible.
What Happens to the Asset After I Request Recycling?
Once you submit a recycling request, the asset goes through the following stages:
- Deployed - Return in Progress → Automatically assigned when a return order is created. (You will see the Item is Marked for Destruction in the order details):
- Unavailable - Marked for Destruction → The asset is in the warehouse, pending transfer to the destruction facility.
- Unavailable - Out for Destruction → Asset is en route to recycling facility
- Archived - End of Useful Life - Destroyed → Asset has been recycled or securely destroyed, and the Certificate of Destruction (CoD) is available for download.

When Will My CoD Be Available and Where Can I Find It?
Once your recycling request is processed by Firstbase, you can now view and download the Certificate of Destruction (CoD) for each recycled asset. Once the asset reaches "Unavailable - Marked for Destruction," the CoD will be available in Firstbase.
To download your CoD:
- Go to Asset Management > All Assets.
- Click the Action Menu next to the asset and select View Details or double-click the asset name.
- A window with Asset Details will appear on the right.
- The CoD will be in the Recycling Details section for download.
Click the eye icon to view the Certificate of Destruction.
- Click the download icon to save it.
How Can I Add Notes to an Asset?
You can add notes to track asset history, add clarifications, or communicate important details within the team.
- In the Asset Details drawer, navigate to the Notes tab (next to History).
- Here, you can add new notes, view notes from other admins, and edit or delete their own notes.
Can I Export Asset Notes?
At this time, asset note exporting is not available in this initial release.
