When a product price changes, some of your active orders may be held until you review the update. You will see these in Action Center as Price Change tasks.
This guide walks you through reviewing the new price, deciding whether to accept or cancel each affected order line, and choosing what should happen to the product in your catalog going forward.
Review and submit a price change decision
- In your Firstbase account, open Action Center from the side navigation.
- On the Pending tab, find the Price Change task and click Review.
- Review the product summary, including the current price and the proposed new price. Discount and warranty details are shown where they apply.
- For each affected order line, choose one option:
- Accept: The order line adopts the new price and continues through fulfillment.
- Cancel: The order line is canceled immediately. It will not be fulfilled and will not be billed.
- If the product is included in any packages, choose for each package whether to Keep in package or Remove from package.
- Choose what should happen to this product for future orders:
- Continue procuring this product: New units can be ordered at the new price. The product stays in your catalog and packages.
- Stop procuring this product: No new units will be purchased. The product stays in your catalog, but future orders can only use warehouse stock you already have.
- Remove from catalog: The product is deactivated and removed from all packages. This option is only available when you cancel all order lines in the request and no inventory or pending orders block removal.
- Click Submit decisions.
After you submit, the task moves to the Actioned tab. Click View details on any completed task to see a read-only record of your decisions.
What happens when you cancel an order line
When you choose Cancel for an order line:
- The order line is canceled right away.
- Fulfillment for that line stops.
- The line is excluded from billing.
- The product price on that line does not change to the new price.
If you cancel all order lines in the request, you may also choose Remove from catalog in step 6 to stop ordering that product entirely.
If you cancel some lines and accept others, accepted lines continue at the new price. Canceled lines are removed from billing. You can still choose to continue procuring, stop procuring, or remove the product from your catalog for future orders.
Frequently asked questions
Why is my order held for a price change?
A product price in your catalog was updated while you had active orders in progress. Firstbase holds those order lines so you can decide whether each one should move to the new price or be canceled.
Until you submit a decision in Action Center, affected order lines are paused and will not continue through fulfillment.
What happens if I accept the new price?
The order line adopts the new price and continues through normal fulfillment. It is no longer held in Action Center, and billing will reflect the updated price for that line.
What happens if I cancel an order line?
The order line is canceled immediately. Fulfillment stops, and the line is excluded from billing. It keeps its previous price and does not adopt the new catalog price.
Can I accept some order lines and cancel others?
Yes. You can make a different decision for each order line in the same request. The overall outcome may show as Partially accepted in the Actioned tab.
What is the difference between "Stop procuring" and "Remove from catalog"?
Stop procuring means no new units will be purchased, but the product stays in your catalog and packages. Future orders can still use warehouse stock you already have.
Remove from catalog deactivates the product and removes it from all packages so it can no longer be ordered.
Who can submit price change decisions in Action Center?
Users with the Admin role can submit decisions. Admin Read Only users can view tasks but cannot submit.
Why don't I see a price change task in Action Center?
A task appears only when a price change includes at least one of your active order lines. If no orders were included, or only the catalog price was updated, you will not see a task. Check the Pending tab and confirm you are signed in as an Admin for the correct organization.
