Overview
If you decide not to renew your Firstbase contract, written notice must be provided within the timeframes specified in your agreement. Your Customer Success Manager (CSM) will guide you through the off-boarding process, ensuring the proper return of equipment, reconciliation of remaining costs, and a smooth transition.
Offboarding Process
1. Returning Leased Equipment
- If leased equipment is deployed, you will have the option to either return the item(s) or buy out per the terms of your agreement. See (buyout article link here) for further details.
- Your CSM will facilitate a quote in accordance with the terms of your agreement for any buyout costs as part of the offboarding process.
- Returned equipment must follow Firstbase’s standard return procedures to avoid additional fees and buyout. See(buyout article link here) for further details.
2. Retrieving Owned Equipment from Warehouses
- As part of the offboarding process, your CSM will provide a report of all inventory stored in Firstbase warehouses.
- You may choose to have items returned or disposed of.
- Return shipments:
- Firstbase will provide a quote for processing and shipping costs, which will be included in your final invoice.
- Regional limitations apply—items stored in regional warehouses can only be shipped within the same country, except for items in the EU warehouse, which can be shipped within the EU.
- Exporting of stored devices is not supported.
3. Handling Late Returns
- For items associated with return orders initiated before your contract expires, Firstbase will process as normal.
- NOTE: This includes items that may arrive to Firstbase after your contract expires and after you have received a shipment of your inventory to you. If customer-owned items arrive at a Firstbase warehouse after the initial return shipment has been completed, Firstbase will coordinate with you to arrange their return. A separate invoice will be issued for any additional shipping and processing costs incurred.
Limitations and Key Considerations
- Advance Planning: Notifying Firstbase within the contractual timeframe ensures a structured and efficient off-boarding process.
- Final Reconciliation: Any outstanding costs, including return fees, buyout options, and logistics charges, will be invoiced as part of the contract closure.
- Regional Shipping Limits: Be aware of restrictions on returning stored equipment across borders, particularly for warehouse items.
- Terms: As always, all services and procedures are subject to the terms outlined in your MSA, Order Form(s), Firstbase Policies & Service Capabilities and any additional supplemental agreement documentation.
