The Firstbase platform provides a streamlined way to manage your organization's assets through the Asset Management menu. Here's how to navigate and use this section effectively.
Log In to Firstbase
- Log in to your Firstbase account.
- Navigate to Menu > Asset Management.
Asset Management Menu
The Asset Management menu includes three main options:

All Assets
View and manage all assets in your organization. -
Inventory Orders
Manage equipment held in inventory by Firstbase for future use. -
Shipment Notices
Manage inventory shipped to Firstbase from third-party vendors.
Viewing Assets in "All Assets"
- Click on All Assets in the Asset Management menu.
- You’ll see a table displaying all assets in your organization with columns such as:
- Product
- Assigned To
- Status
- Condition
- Serial Number
- Country
- Tags
- Renewal Date
- Warranty Type (for computers)
- Billing Start Date
- Billing End Date
- Category
- Supplied By (Firstbase or via Shipment Notices).
Filters and Tools
- Filters: Located above the table, use these to refine your view by criteria like location, status, or category.
- Search Bar: Found in the top-right corner, type keywords to locate specific assets.
- Export: Click the Export button (top-right) to download the table as an Excel sheet for further analysis.
- Add Assets: Click the Add Assets button (top-right) to assign a new asset to your organization. This asset can be assigned to either an employee or an office location. You can fin more information on how to Add and Asset here
Tabs in "All Assets"
Above the asset table, there are two tabs:

All Assets
View a detailed list of all assets. -
Grouped by Product
See a summary of assets grouped by product category with columns:- Category
- Product
- # Deployed
- # Available
- # Unavailable
Filters and Export for "Grouped by Product"
- Apply filters to refine the grouped view.
- Export the grouped table by clicking the Export button.
Inventory Orders
The Inventory Orders section displays a table of all inventory orders submitted. The table includes the following columns:
- Product
- Quantity
- Warehouse
- Order Date
- Status
- Type
- Expected Ship Date
At the top, you can apply filters to refine the view or export the table data for analysis. You also have the option to Place Inventory Orders directly from this section by clicking the Place Inventory Order button in the top-right corner.
Shipment Notices
The Shipment Notices section lists all shipment notices submitted by your organization. The table includes the following columns:
- Product
- Quantity
- Received
- Status
If a shipment notice has not yet been submitted or processed, you can click Actions to:
- View Details
- Edit
- Cancel
If the shipment notice is already processed or submitted, the Actions menu will only allow you to View Details (editing or canceling will no longer be available).
In this section, you can also:
- Export the table data (top-right).
- Search for specific shipment notices.
- Apply Filters to customize the table view.
- Submit New Shipment Notices by clicking the Submit Shipment Notices button.
Tips for Effective Asset Management
- Use Filters: Refine your view to focus on specific locations or categories.
- Export Data: Regularly export data to monitor trends and manage records effectively.
- Add Assets: Keep your catalog updated by adding new items promptly.
