When offboarding an employee, you can gift eligible equipment to them. However, items leased by Firstbase under a subscription plan must be returned and cannot be gifted. Offboarding can be initiated in two ways:
- Via Employee Profile
- Via Returns
The gifting process happens in the step where you choose which items will be returned and which will not. If an item is not being returned, you must select the reason: “Why will this item not be returned?” and for gifting, choose “I want to gift it to the employee.”
Option 1: Offboarding via Employee Profile
Step 1: Search for the Employee
- Log in to your Firstbase account.
- Navigate to Menu > People and Offices > People.
- Search for the employee and click their name to open their profile.
- In the Profile section, scroll to the bottom-right and click Begin Offboarding.
- Choose the return destination:
- Ship to Firstbase, or
- Drop off at an Office.
Step 2: Select Equipment

Review the list of Eligible Equipment:
- Items marked Must be returned cannot be gifted and must be selected for return.
- Items marked Can be returned are eligible for gifting if not selected for return.

For any items not selected for return, choose the reason:
- Why will this item not be returned?
- Select I want to gift it to the employee.

If additional eligible equipment is not listed, click Add Equipment to Return in the top-right corner.
Note: Items added will follow these rules:
- Only supported categories can be added.
- Most added items will default to "gifted." For example:
- A computer can be gifted or returned.
- A USB-C hub will be gifted automatically and appear under the Ineligible tab.
Step 3: Complete the Offboarding Process
- Depending on the return destination:
- Ship to Firstbase: Review and update the employee’s contact information and address.
- Drop off at an Office: Employee contact details are not required.
- Select the employee’s last day.
- Review all details and click Submit to finalize the offboarding request.
Option 2: Offboarding via Returns
Step 1: Select Return and Offboarding Process
- Log in to your Firstbase account.
- Navigate to Menu > Orders and Returns.
- Click Actions in the upper-right corner and select Initiate Return or Replacement.
- Select the employee for whom you’re submitting the request.
- Specify Return as the request type.
- Answer YES to the offboarding question and click Continue.
Step 2: Select Equipment
The steps here mirror the process in Option 1:
- Review the list of Eligible Equipment:
- Items marked Must be returned cannot be gifted and must be selected for return.
- Items marked Can be returned are eligible for gifting if not selected for return.
- For items not selected for return, choose the reason:
- Why will this item not be returned?
- Select I want to gift it to the employee.
Important Notes
- Leased Equipment: Items under a Firstbase subscription plan must be returned and cannot be gifted.
- Record Keeping: Always select a reason for items not returned to maintain accurate records (e.g., gifting to the employee).
- Drop-Off Option: For office drop-offs, this option does not generate a return order but reassigns the equipment to the selected office location.
