The HiBob - Firstbase integration streamlines your onboarding, updating, and offboarding processes.
This guide will walk you through the steps to set up the integration by using either one of two available options:
Integration Steps - Connecting using HiBob Credentials
1. Create a Service User Account in HiBob and assign the right permissions
Note: You must have Administrator permissions in your company's HiBob's instance to create a service user account
In order to connect your HiBob account to Firstbase, you must first create a service user account with the necessary permissions to connect.

Navigate to your HiBob System Settings
- In your settings, go to integrations and click Manage Service Users
- Create a new Service User and save the Service User ID and Token.
- Back in your settings, go to Account > Permission Groups and select Add Permission Group.
- Name the group, you can name it "Firstbase Integration", then, in the Group members section, choose Select people by condition and select Edit.
- In the Select people by condition pop-up, delete the existing condition and add the Service User previously created in the dropdown menu for Add Specific Employees, then click Apply.
- Finish the initial creation of the Group by selecting Create. If a pop-up appears, Confirm the creation of the group.
- Under the People's data tab of the created Permission Group, edit the data that can be accessed by choosing Select people by condition and selecting Edit.
- In the Select people by condition pop-up, choose a Lifecycle Status of Employed, Hired, and Terminated and select Apply.

Back in the People's Data add the following permissions.

- View selected employees' email addresses

- View selected employees' Employment sections

People > History
- View selected employees' profile changes history

People > Identification
- View selected employees' Identification sections

People > Lifecycle
- View selected employees' Lifecycle sections
- View selected employees' Lifecycle section histories

- View selected employees' Personal sections

People > Personal contact details
- View selected employees' Personal contact details sections

- View selected employees' Address section histories

- View selected employees' Home sections

2. Login to the Firstbase App and visit the "Integrations" Page
2. Find HiBob in the list of "Available Integrations" and click on it to start connecting to your HiBob account.
You'll be presented with two options:
- Use my username and password (recommended)
- Custom reports (SFTP)
Select "Use my username and password (recommended)":
3. Verify Administrator Role
You must be an administrator of HiBob to link to Firstbase successfully. If you're an admin, click "I am an admin" to proceed.
4. Review Data Permissions
Review the types of data Firstbase can read:
- Employees
- Employments
- Groups
- Locations
Click "Next" to continue. Note: By proceeding, you agree to the End User Terms.
5. Set up your service account
Follow the steps in this guide to get your user ID and Token, after doing so, pase them on the form and click on the next button.
6. Confirm Integration
After successful authentication, you'll receive a confirmation that your HiBob account is now integrated with Firstbase.
Integration Steps - Using Custom reports (SFTP)
If you chose to use a custom report (SFTP) first follow this guide to learn how to send HRIS data via SFTP.
You'll be presented with 2 options
- Automatically send report
- Manually upload report
Automatically sending reports
1. Automate sending your report
Follow the steps indicated, after setting up your host name, destination directory, user name and port, click on next.
2. Automate Sending your report
Follow this guide to automate your report, once done so, click on next button.
3. Confirm Integration
After successful authentication, you'll receive a confirmation that your HiBob account is now integrated with Firstbase.
Manually uploading reports
1. Upload CSV
In order to manually send reports, you need to upload or drag your CSV in the indicated window on the step.
Then select the type of template from the dropdown options and click next.
2. Confirm Integration
After successful authentication, you'll receive a confirmation that your HiBob account is now integrated with Firstbase.
