Overview
The Namely - Firstbase integration allows you to integrate Namely with Firstbase to handle your onboarding, offboarding, and other use of HRIS cases.
Use Cases Supported
1. Onboarding
This workflow focuses on creating new users in Firstbase once they are created in Namely. It caters to new hires and not existing employees.
The workflow triggers based on all the following criteria being met:
- A user is created with a start date in the future.
- The user's employment type is full-time.
- The user has all the necessary details for Firstbase to create the user and assign a package. This includes first and last name, primary email address, country, employment type, and department.
2. Offboarding - Coming Soon
When a user is offboarding in Namely, offboard the user in Firstbase.
3. Account Updates - Coming Soon
When a user is updated in Namely, update the user in Firstbase.
Setup Instructions
Follow the steps below to quickly set up the integration between Firstbase and Namely so you can automate manual workflows such as onboarding. Note: Please contact your account manager to turn on integrations in Firstbase.
1. Create a Namely ‘Integrations’ role for your integration with Firstbase.
This will create the proper access level role for you to connect with Firstbase
- Log in to Namely.
- Under the ‘Company’ page, visit ‘Roles & Permissions.'
-
Create an ‘Integrations’ Role.
-
Create an ‘Integrations’ Field Group Bundle. This will be used to define the fields the ‘Integrations’ Role can access.
- Edit your ‘Field group bundle’ with the fields the ‘Integrations’ role will need access to. In this case you'll need access to: Title, First Name, Last Name, Home Email, Work Email and Start Date.
- Set your ‘Integrations’ Role to have read permissions for the ‘Integrations’ field group bundle.
2. Create a new ‘Integrations’ Namely user and assign the newly created “Integrations” role
This user will be needed to create an API Key so that we can connect to your Namely App instance.
- Now that the ‘Integrations’ role has been created with the necessary permissions, you must create a user with this role so that it can be used to connect Firstbase to your Namely instance.
- Start by creating an ‘Integrations’ user in Namely. Add the newly created ‘Integrations’ role to this user.
- Give the user a hire date of today - THIS IS IMPORTANT
- Give them a meaningful name, e.g., Firstbase Integration User
- Give them a valid email address under Work Email - you need to be able to generate a password and log in as this user.
3. Log in as the newly created “Integrations” user
We'll use this user to establish the connection between Firstbase and Namely.
- Once you’ve logged in, you can connect to Firstbase in the next step.
4. Connect to Namely in Firstbase using your newly created user
Once connected, we can trigger changes on Firstbase when you trigger changes on Namely.
- Inside the Firstbase app in Settings > Integrations > Namely, click on “Connect to Namely.”
- A popup will appear, and you will be prompted to log in with your Namely account.
Provide access to the app from the Namely account you’d like to use to set up the integration.
Once connected, the “Connect to Namely” button should display “Connected to Namely.”
5. Edit your Namely package assignments.
When creating users, we'll need to assign a package to each of your employees. We can do so if you map a Namely field (e.g., Department, Division) to your Firstbase packages.
-
Inside the Firstbase app, go to Settings > Integrations > Namely.
-
Click on the recipe toggle arrow and then on ‘Edit package assignments.’
- Here, you’ll need to map your departments to the corresponding package. For each department name in your Namely account, select a Package to assign and save.
6. Start your Firstbase - Namely integration!
-
On the Namely page (Settings > Integrations > Namely), click on “Start” next to the integration that you wish to set up for your organization.
- “Namely Onboarding” should now be displayed as started.
